Probation Period Reviews (CMU-Africa)

1The 6-Week Probation Period Check-In

Launches to the supervisor in Workday 1 week before the employee's 6-week mark in the new role.

  1. From the Workday homepage, in the Awaiting Your Action section, open the 6-Week Probation Period Check-In task. Alternatively, open your Workday inbox to find the task.
  2. Click Get Started.
    • Note: The 6-Week Probation Period Check-In provides your HR business partner with an update on how the employee is progressing in their new role. If everything is trending as expected, it is recommended that supervisors hold a brief discussion with the employee to share feedback on their progress. If the employee is not performing as expected or if supervisors need additional support, this is the time to engage with your HR business partner for assistance.
  3. After opening the 6-Week Check-In task, the evaluation questions will be displayed. Respond to each question by utilizing the "Rating" dropdown to answer "Yes" or "No." Comments are optional. After responding to all three of the questions, click Next.
    • Note: A rating is required. If an answer is not provided on any of the questions in the "Rating" field, an error will occur prompting your response.
  4. On the Status screen, in the "Comment" field, add any additional comments regarding the employee's performance thus far in the probation period (optional), then click Next.
  5. On the Review and Submit screen, review all ratings and answers provided in the review. Click the radio button for Questions or Status on the left to make any changes. If you need more time to revisit the review later, click Save for Later. Once satisfied with the review responses, click Submit.
  6. After submission, you will receive the "Success! Event submitted" pop-up. Click "View Details" to view the process details or close to return to your Workday homepage.

Successful Check-In (Selected "Yes" Rating for All Questions):

  • HR business partner – Will receive a notification in Workday. No action is required.
  • Supervisor – Will have a check-in with the employee (optional).
  • Employee – Will not receive a Workday email notification.

Unsuccessful Check-In (Selected "No" Rating for Any Question):

  • HR business partner – Will receive a notification in Workday. Once they have reviewed it, the HRBP will set up a time with the supervisor to further discuss the review.
  • Supervisor – Will have a conversation with the employee and will document feedback outside of Workday with HRBP assistance.

2The 3-Month Probation Period Review

Launches to the supervisor in Workday 2 weeks before the employee's 3-month mark in the new role.

  1. From the Workday homepage, in the Awaiting Your Action section, open the 3-Month Probation Period Review task. Alternatively, open your Workday inbox to find the task.
  2. After opening the 3-Month Probation Period Review task, the evaluation questions will be displayed. Respond to each question by utilizing the "Rating" dropdown to answer "Yes" or "No." Comments are not required for the first three questions.
  3. After responding to all questions, click Next.
    • Note: A rating is required. If no answer is provided to any of the questions in the "Rating" field, an error will occur prompting your response.
  4. On the Status screen, in the "Rating" dropdown, answer if the employee has completed the probation period successfully (Yes or No).
  5. In the "Comment" field, provide an overall summary regarding the employee's performance during the probation period. A comment is required to provide an overall summary of the employee's performance during the probation period. These comments, along with your answers to the prior questions, will be visible to the employee. Once completed, click Next.

    Note:
      If selecting "No" due to the employee not successfully completing their 3-Month Probation Period Review please review the following process:
    • Your HR business partner will review the supervisor's commentary and confirm the results of the review. The supervisor and HRBP will discuss the next steps. In some cases, the HRBP may "send back" the review for supervisors to include additional documented feedback. When possible, supervisors are encouraged to meet with the HRBP before submitting the probation review if there are any concerns with the employee's performance that need to be documented.
    • Once the supervisor's commentary is complete and has been reviewed in Workday by the HRBP, you will receive a Hold probation Review Until Discussed With Employee to-do in Workday to allow time for a conversation with the employee.
    • Submit the task after the conversation with the employee is complete.
    • The employee will receive a notification that their probation review is complete. Note that your "Yes" or "No" responses and any comments in the probation review will be visible to the employee.
  6. On the Review and Submit screen, review all ratings and answers provided in the review. Click the radio button for Questions or Status on the left to make any changes. If you need more time to revisit the review later, click Save for Later. Once satisfied with the review responses, click Submit.
  7. After submission, you will receive the "Success! Event submitted" pop-up. Click "View Details" to view the process details or close to return to your Workday homepage.

Successful Review (Overall Rating: "Yes–Successfully Completed"):

  • HR business partner – Will receive a notification in Workday. No action is required.
  • Supervisor – Will have a conversation with the employee.
  • Employee – Will receive a Workday email notification. Will be able to view the probation period review in their Performance tab. Goal Setting will launch.

Unsuccessful Review (Overall Rating: "No–Not Successfully Completed"):

  • HR business partner – Will receive a notification in Workday. Once they have reviewed it, the HRBP will set up a time with the supervisor to further discuss the review.
  • Supervisor – Will receive a hold step in Workday once supervisor commentary is reviewed by the HRBP, allowing time to have a conversation with the employee.

Probation Period Review Tools
