Hybrid Teaching Spaces with Resident Video Conferencing

Rooms with resident video conferencing require different setup and usage. Follow the step-by-step instructions and refer to the use cases below when teaching from a space with this technology. This allows both in-person and remote students to learn, collaborate, and participate in a classroom instructional environment.

Step 1: Share Screen with In-Person Students

Connect your laptop to and share your screen for in-person students

  1. Connect the HDMI cable to your laptop to use the touch panel and videoconference technology.
  2. Under Device on the touch panel, tap Laptop. Your screen will be shared using the room projector in the classroom.
  3. (If applicable) Under Display Controls, tap Left-, Right- or Both- to set the display location.

Note: Your screen is NOT yet shared with remote students. It is only shared with in-person students in the classroom. 

Step 2: Share Screen with Remote Students

Join and start a meeting in Zoom for remote students

  1. Under Actions on the touch panel, select Zoom.
  2. Enter the Meeting ID (and passcode if required). 
  3. Tap Join Meeting.
  4. Under Videoconference Controls, tap Presentation and then tap Laptop. Your screen will be shared with remote students.

TIP! As the meeting host,  you can adjust Zoom settings for security, manage participants, monitor chat, set participant controls and more!

Step 3: Adjust Settings for Remote Students

Adjust videoconference settings for remote students

  1. Under Actions on the touch panel, select Videoconference
  2. Under Videoconference Controls:
    1. Select the camera to adjust and then use the Pan/Tilt or Zoom buttons. This will adjust the camera view of the room for remote students.
    2. Use the slider to increase or decrease the Videoconference Volume. This will adjust the volume in the room and for remote students.

Connect your laptop to and share your screen for in-person students

  1. Connect the HDMI cable to your laptop to connect to the touch panel and and videoconference technology.
  2. Under Device to Display on the touch panel, tap Laptop. Your screen will be shared using the room projector in the classroom.
  3. (If applicable) Tap Left Display Options or Right Display Options to set the display location.

Note: Your screen is not yet shared with remote students. It is only shared with in-person students in the classroom.

  1. Tap Call/Answer on the touch panel.
  2. Tap Join a meeting using Zoom and enter the Meeting ID using the number pad. 
  3. Tap Share and then tap Laptop. Your screen will be shared with remote students.

TIP! As the meeting host,  you can adjust Zoom settings for security, manage participants, monitor chat, set participant controls and more!

Adjust videoconference settings for remote students

  1. Tap Camera and adjust camera controls (as needed). This will adjust the camera view of the room for remote students.
  2. Adjust the Volume (as needed). This will adjust the the volume of remote students within the room.

After I'm set up, I want to...

WHAT I NEED: A laptop with your presentation

WHAT I DO: Open the presentation on your laptop.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Laptop. Your screen will be shared using the room projector in the classroom.
  1. Under Videoconference Controls on the touch panel, tap Presentation.
  2. Select Laptop. 

WHAT I NEED: A laptop and materials to share with the document camera

WHAT I DO: Place the materials under the document camera.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Document Camera.The document camera will be shared using the room projector in the classroom.
  1. Under Videoconference Controls on the touch panel, tap Presentation.
  2. Select Doc Cam. 

WHAT I NEED:

WHAT I DO:

  1. Click Share Screen from within the Zoom meeting on your laptop.
  2. Select iPhone/iPad and then click Share.
  3. Follow the onscreen instructions to connect your iOS device.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Laptop.
  • DO NOT click Share computer sound to avoid audio feedback. 

Note: You can also use a wired connection to share your iOS device (Mac only) or use annotation tools on a shared screen or whiteboard within the Zoom meeting.

Control the presentation for the student

  1. Obtain a copy of the student's presentation materials in advance of the class. 
  2. Share the presentation with both in-person and remote students.  
  3. Use your laptop to assist with presentation advancement on behalf of the student. 

Student uses personal device to share via the Zoom meeting

  • Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.

Instruct the student to:

  1. Bring a personal device into the classroom with the presentation materials.
  2. Join the Zoom meeting
  3. IMPORTANT! DO NOT have the student join the audio for the meeting (if prompted). If the device is connected automatically, click the ^ arrow next to Mute/Unmute and select Leave Computer Audio to prevent feedback.
  4. Click Share Screen to present the materials.

Student uses personal device to connect wirelessly to  video conference technology *

  1. Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.
  2. Under Videoconference Controls on the touch panel, tap Presentation.
  3. Select Wireless

Instruct the student to:

  1. Bring a personal device into the classroom with the presentation materials.
  2. Follow the steps on the screen to connect his/her device to the video conference.

Remote students can share their screen within the Zoom meeting.  

  1. Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.
  2. Instruct the remote student to:
    1. Click Unmute to open his/her microphone.
    2. Click Share Screen to present the materials. 

* This option is only available in rooms with a wireless collaboration option.

  1. Click Record. All participants will be notified via an audio message that the meeting is being recorded.
  2. Select Record on this computer to save the recording to your hard drive.
  3. Click Record to the cloud. You will receive an email with a link to the recording once it's available for viewing.

Note: Unless you enable the setting Auto delete cloud recordings, recordings saved to the Zoom cloud will remain in place until manually deleted.
