Client Configuration

Follow the appropriate steps below to setup your email client for Exchange.

Step 1: Configure

  1. Open Outlook.
  2. Do one of the following:
    • Setup Wizard displays - click Next, select Yes and click Next.
    • Select File > Add Account
  3. Select Exchange.
  4. Click New.
  5. Enter the information below.
    • Your name
    • Email address: AndrewuserID@andrew.cmu.edu or CMUname@cmu.edu
    • Password: Andrew password
  6. Click Next.
  7. Select Use Another Account and enter andrew\yourAndrewuserID and then enter your password.
  8. Click OK.
  9. There may be a delay as Outlook acquires necessary server information.
  10. Click Finish.

Step 2: Turn Off AutoArchive and Junk Mail Filtering

IMPORTANT!  Be sure to complete this step so NEW and EXISTING messages are filtered properly.

  1. In Outlook, select File > Options.
  2. Select Advanced and then click AutoArchive Settings.
  3. Check to be sure that Run AutoArchive is NOT selected.
  4. Click OK.
  5. Select Home.
  6. Click the arrow next to Junk, then select Junk E-mail Options
  7. Select the Options tab and then No Automatic Filtering.
  8. Click OK.

Step 3: Turn Cache Mode Off (Delegates)

If you are a DELEGATE or if you will be NAMING someone as your delegate, follow these steps:

  1. Launch Outlook and select File > Account Settings > Account Settings.
  2. Select your Exchange account and click Change.
  3. Uncheck Use Cached Exchange Mode.
    Note: Turn the Use Cached Exchange Mode on when you need access to your email/calendar when you have NO internet access (e.g., traveling by plane).
  4. Click Next.
  5. Click OK.
  6. Click Finish.
  7. Close Outlook.

If you downloaded Outlook 2016 from Office 365 Windows, follow these instructions to configure your email client for Exchange.

Step 1: Configure

  1. Open Outlook.
  2. Enter your Andrew email address yourAndrewuserID@andrew.cmu.edu or CMUname@cmu.edu in the "Welcome to Outlook" window.
  3. Click Advanced Options, click Let me set up my account manually, then click Connect.
  4. Click Exchange to begin the Outlook configuration.
  5. Select Use Another Account, enter andrew\yourAndrewuserID and your password, then click OK.
  6. Click OK in the "Account setup is complete" window to complete the configuration setup and launch Outlook.

Step 2: Turn Off AutoArchive and Junk Mail Filtering

IMPORTANT!  Be sure to complete this step so NEW and EXISTING messages are filtered properly.

  1. In Outlook, select File > Options.
  2. Select Advanced and then click AutoArchive Settings.
  3. Check to be sure that Run AutoArchive is NOT selected.
  4. Click OK.
  5. Select Home.
  6. Click the arrow next to Junk, then select Junk E-mail Options
  7. Select the Options tab and then No Automatic Filtering.
  8. Click OK.

Step 3: Turn Cache Mode Off (Delegates)

If you are a DELEGATE or if you will be NAMING someone as your delegate, follow these steps:

  1. Launch Outlook and select File > Account Settings > Account Settings.
  2. Select your Exchange account and click Change.

  4. Click Next.
  5. Click OK.
  6. Click Finish.
  7. Close Outlook.

Configure

  1. Open Outlook.
  2. Do one of the following:
    • Setup my Inbox displays - click Add Account
    • Select Tools > Accounts and click +
  3. Select Exchange.
  4. Click New.
  5. Enter the information below.
    • Email address: AndrewuserID@andrew.cmu.edu or CMUname@cmu.edu
    • Method: User Name and Password
    • User name: Andrew userID
    • Password: Andrew password
    • Configure automatically: checked
  6. There may be a delay as Outlook acquires necessary server information.
  7. Type an Account description.

Troubleshoot

If Autodiscover fails, Retry. If it fails again, click Advanced and enter:

Step 1: Configure

  1. Close Outlook.
  2. Do one of the following:
    • Windows 7: Select Start > Settings -or- Start > Control Panel.
    • Windows 8: Select All apps > Control Panel
  3. Select Mail.
  4. Do one of the following:
    • If prompted, create a new profile. Follow the onscreen instructions and then skip to Step 6.
    • Select E-mail Accounts.
  5. Click New.
  6. Enter your name and your Andrew email address. Click Next. It may take several minutes to configure your profile.
  7. Select Use Another Account and enter andrew\yourAndrewuserID and then enter your password. Click OK.
  8. Click Finish. There may be a delay as Outlook acquires necessary server information.

    Note: If Autodiscover fails, email it-help@cmu.edu for manual configuration steps.

Step 2: Turn Off AutoArchive and Junk Mail Filtering

  1. In Outlook, select File > Options.

Step 3: Turn Cache Mode Off (Delegates)

  1. Launch Outlook and select File > Account Settings > Account Settings.
  2. Select your Exchange account and click Change.
  3. Do one of the following:
    • If you will need to access Outlook email/calendar when you have NO internet access (e.g., traveling by plane) select the Use Cached Exchange Mode.
    • If you will NOT need to access Outlook email/calendar when you have no internet access (e.g., traveling by plane) de-select the Use Cached Exchange Mode.
  4. Click Next.
  5. Click OK.
  6. Click Finish.

Step 1: Configure

  1. Launch Mail.app.
  2. From the Mail pulldown menu, select > Preferences > Accounts, then click + (plus sign) at the bottom left of the window to add an account.
  3. Select Exchange, then click Continue.
  4. Enter your name, Andrew email address, password, then click Sign In.
  5. In the window that opens, select the apps you want to use with Exchange (e.g., Contacts, Calendar), then click Done.

Step 2: Turn Off Junk Mail Filtering

IMPORTANT!  Be sure to complete this step so NEW and EXISTING messages are filtered properly.

  1. Select Mail > Preferences and click Junk Mail.
  2. Uncheck Enable junk mail filtering.
  3. Close the window.

Step 1: Enable IMAP Access

  1. If necessary, enter your Andrew userID and password on the MyExchange Tools page.
  2. In the left navigation, click IMAP Settings.
  3. In the IMAP Access window that opens, select Enable IMAP, then click Submit. The process will take 15 minutes to complete.

Step 2: Enter Your Thunderbird Account Information

  1. Launch Thunderbird. In the "Would you like a new email address?" window, click Skip this and use my existing email.
  2. Enter the following information:
    • your name as you want it to appear on outgoing email messages
    • your Andrew userID@andrew.cmu.edu email address
    • your Andrew password
      (optional) Check Remember password if you want Thunderbird to remember your password. Do not check this box if you access your email on shared device.

Step 3: Configure Thunderbird

  1. Click Continue, then Manual config., and enter the following server information. It may take several seconds for the Manual config. button to appear.
    Server Type Server hostname Port SSL Authentication
    Incoming IMAP imap.exchange.andrew.cmu.edu 993 SSL/TLS Normal Password
    Outgoing SMTP smtp.exchange.andrew.cmu.edu 587 STARTTLS Normal Password
    Note: If Username: is blank, type your Andrew userID@andrew.cmu.edu email address.
  2. Click Done.
  3. If you prefer, you can configure your account to send mail from a CMU alias address.
  1. Locate your email or ActiveSync settings.
  2. Enter the configuration settings below (terminology may vary). 
    • Description: CMU Exchange Mail
    • Email: your Carnegie Mellon email address (e.g., juser@cmu.edu)
    • Domain: andrew.ad.cmu.edu
    • Server: exchange.andrew.cmu.edu
    • Username: Andrew userID
    • Password: Andrew password
  3. Set a passcode, if prompted. A policy on the Exchange server may require you to create a passcode.

Mobile ActiveSync Policy

A Mobile ActiveSync Policy tool is available through MyExchange Tools.  Exchange customers can select from one of three security policies:

  • CMU Open Policy - No passcode required
  • CMU Secure Policy I - Passcode required
  • CMU Secure Policy II - Passcode required; device wipe after 10 failed password attempts.
    Note: In general, a device wipe resets the unit to factory default conditions and erases all data including storage cards. However, check with your device manufacturer for details.

Because policies concerning access to sensitive data are determined within each department, check with your manager or departmental administrator for the security policy to select. 

Changing Policies

When you switch from CMU Secure Policy I or CMU Secure Policy II to CMU Open Policy, you will need to remove the passcode from your device. Follow the steps below to do this. If you need help, refer to your device manual, your departmental administrator or DSP consultant.

  1. After you change the policy in MyExchange, allow 30 minutes for it to take effect.
  2. Locate your passcode settings (i.e., code used to unlock your mobile device).
  3. Turn off your passcode or remove it, according to your device settings.
  4. Power off your device, then turn it back on.

Note: If you are unable to remove the passcode or if the device still requires your passcode, remove then add your Exchange account again.
