Client Configuration

Follow the appropriate steps below to setup your email client for Exchange.


  1. Open Outlook.
  2. Enter your Andrew email address or in the "Welcome to Outlook" window.
  3. If available, click Advanced Options, select Let me set up my account manually, then click Connect.
  4. Click Exchange to begin the Outlook configuration.
  5. Select Use Another Account, enter andrew\yourAndrewuserID and your password, then click OK.
  6. The "Account setup is complete" window displays. Uncheck Set up Outlook Mobile on my phone, too and click OK to launch Outlook.

Turn Off AutoArchive and Junk Mail Filtering

IMPORTANT!  Be sure to complete this step so NEW and EXISTING messages are filtered properly.

  1. In Outlook, select File > Options.
  2. Select Advanced and then click AutoArchive Settings.
  3. Check to be sure that Run AutoArchive is NOT selected.
  4. Click OK.
  5. Select Home.
  6. Click the arrow next to Junk, then select Junk E-mail Options
  7. Select the Options tab and then No Automatic Filtering.
  8. Click OK.

Turn Cache Mode Off (Delegates)

If you are a DELEGATE or if you will be NAMING someone as your delegate, follow these steps:

  1. Launch Outlook and select File > Account Settings > Account Settings.
  2. Select your Exchange account and click Change.
  3. Uncheck Use Cached Exchange Mode.
    Note: Turn the Use Cached Exchange Mode on when you need access to your email/calendar when you have NO internet access (e.g., traveling by plane).
  4. Click Next.
  5. Click OK.
  6. Click Finish.
  7. Close Outlook.


  1. Open Outlook
  2. You will be prompted to add any email addresses found on your Mac. Click Add Others.
  3. Enter your Andrew email address and click Continue.
  4. Enter the following information:
    1. Method: Username and Password
    2. Email address: or
    3. DOMAIN\username or Email: Andrew\Andrew userID or
    4. Password: Andrew password
    5. Server (optional): Leave blank
  5. Click Add Account.
  6. Click Done
  7. Click Tools > Accounts, then click plus (+) to add another account. Repeat steps 1-6.


If Autodiscover fails, Retry. If it fails again, click Advanced and enter:


  1. Open the Apple Mail app.
  2. Select Microsoft Exchange from the Choose a Mail account provider pop-up.
  3. Click Continue.
  4. Enter your Andrew email address (, then click Sign In
  5. If prompted, click Sign In a second time to access Exchange using Microsoft.
  6. When prompted, enter your Andrew password and click Next.
  7. If Unable to verify account name or password message displays, remove your email address and type only your Andrew userID for User Name.
  8. Click Sign In.
  9. Select the apps you want to use with Exchange (e.g., Contacts, Calendar), and then click Done.

Turn Off Junk Mail Filtering

IMPORTANT!  Be sure to complete this step so NEW and EXISTING messages are filtered properly.

  1. Select Mail > Preferences and click Junk Mail.
  2. Uncheck Enable junk mail filtering.
  3. Close the window.

Export Contacts

Select all contacts (click the first, hold Shift, then click the last); then select File > Export > Export vCard.

Export Calendar

Select File > Export > Export.

Step 1: Enable IMAP Access

  1. Visit MyExchange Tools.
  2. Enter your Andrew userID and password.
  3. In the left navigation, click IMAP Settings.
  4. In the IMAP Access window that opens, select Enable IMAP, then click Submit. The process will take 15 minutes to complete.

Step 2: Enter Your Thunderbird Account Information

  1. Open Thunderbird.
  2. Click Skip this and use my existing email.
  3. Enter the following information:
    • Your name
    • Your Andrew email address
    • Your password
  4. Select the Remember password checkbox.

Step 3: Configure Thunderbird

  1. Click Continue, then click Manual config. It may take several seconds for the Manual config. button to appear.
  2. Enter the following incoming server settings:
    • Type: IMAP
    • Server hostname:
    • Port: 993
    • SSL: SSL/TLS
    • Authentication: Normal Password
    • Incoming Username: Your Andrew email address
  3.  Enter the following outgoing server settings:
    • Type: SMTP
    • Server hostname:
    • Port: 587
    • Authentication: Normal Password
    • Outgoing Username: Your Andrew email address
  4. Click Done.
  5. If you prefer, you can configure your account to send mail from a CMU email alias.


Instructions may vary based on your mail application. You could receive additional prompts. Those using iOS should use the Apple Mail app.

  1. Set up a mobile ActiveSync policy for your device.
  2. On your device, open your email app and choose to add a new Exchange account.
  3. Follow the prompts to proceed with the setup. 
  4. Review the application defaults and ensure they match the following configuration:
    • Description: CMU Exchange Mail
    • Email: your Andrew email address (e.g.,
    • Password: Andrew password
    • Username: Andrew userID or Andrew\Andrew userID depending on the information requested.
    • Server:
    • Domain: (optional)
  5. Set a passcode, if prompted.

Note: Outlook and CloudMagic are currently blocked becase they store Andrew account content outside of the Computing Services Exchange server. 

A Mobile ActiveSync Policy tool is available through MyExchange Tools.  Exchange customers can select from one of three security policies:

  • CMU Open Policy - No passcode required
  • CMU Secure Policy I - Passcode required
  • CMU Secure Policy II - Passcode required; device wipe after 10 failed password attempts.
    Note: In general, a device wipe resets the unit to factory default conditions and erases all data including storage cards. However, check with your device manufacturer for details.

Because policies concerning access to sensitive data are determined within each department, check with your manager or departmental administrator for the security policy to select. 

Changing Policies

When you switch from CMU Secure Policy I or CMU Secure Policy II to CMU Open Policy, you will need to remove the passcode from your device. Follow the steps below to do this. If you need help, refer to your device manual, your departmental administrator or DSP consultant.

  1. After you change the policy in MyExchange, allow 30 minutes for it to take effect.
  2. Locate your passcode settings (i.e., code used to unlock your mobile device).
  3. Turn off your passcode or remove it, according to your device settings.
  4. Power off your device, then turn it back on.

Note: If you are unable to remove the passcode or if the device still requires your passcode, remove then add your Exchange account again.
