ChemE Migration to G-Suite - Go-Live Day Instructions

The Chemical Engineering G-suite migration is nearing completion. Thank you all for patience and participation throughout this process. 

The ChemE Go-Live date is 12/6. (This coming Monday)

All information on this project and the migration process can be found on the office of the CIO's initiatives page: https://www.cmu.edu/cio/key-initiatives/exchange-google/index.html

Here is a brief summary of the remaining steps:

  • Weekend Before (Starting TONIGHT) - Don't make any changes to events on your calendar and no major changes to email
  • Go-Live - In the morning on the Go-Live date you will receive an email in your exchange mailbox with a subject "Welcome to Google". This email will detail the next steps of your migration
  • Post-Migration - You will receive a report of any items that could not be transferred. You will have two weeks to retrieve these items from your Exchange inbox and save them locally

Instructions for the Go-Live

Below you will find the Go-Live instructions for the various cases. Please select the one that most closely matches what you do now and what you would like post migration. These are are listed in Most-Likely to Least-Likely order based on feed back we have received.

If you have an urgent matter on Monday morning, the quickest way to get access to your email is login to the Google Web Client

  • Open a browser and go to: https://www.gmail.com
  • Enter your full CMU email address, AndrewID@andrew.cmu.edu (Not CMUName@cmu.edu) and click next
  • If prompted, select "Google Workspace Account"
  • When you see the familiar Red&White Web Login screen, go ahead and login and process the DUO Request is required
  • You should now see you G-suite inbox. To see you calendar, go to https://calendar.google.com or select calendar from the Bento (9 dots in a grid) menu in the upper right

Proceed to the correct section for configuring your client whenever you are ready.

What to do if I am having trouble?

  • Staff - Reach out to DSP by calling 8-help. Identify yourself as a DSP customer who just migrated to G-Suitie and they will escalate you to the DSP team. If you want to copy your auto-complete list, make sure you tell them that and provide them the link above
  • Faculty - Call 8-7993, stop by the ChemE Computing office, DH A225 or join the G-suite migration Zoom session (There will be a waiting room incase we are working with another in-person or virtual users)
  • Other - Stop by and see our intern, Sarah Hughes in DH A224 from 8am - 4pm or request a virtual session by sending an email to cheme-computing@andrew.cmu.edu

Using Outlook to access your G-suite account is supported. In order to do this you have to add you g-suite account to Outlook by installing and configuring the GWOS (Google Workspace Office Sync) tool.

Follow the instructions on the Computing Services page to do this: Configure Outlook for G-Suite (Scroll down to the "Outlook 365 (Windows)" section.

Notes about this process:

  • This process creates a new "Outlook Profile". If you have other accounts in your existing profile they will not be accessible. The old profile is not deleted, you just can only run one profile at a time. 
  • "Collected Address" are not migrated over. These are non-CMU address that show up in your auto-complete list. If you want to move these over you have to follow the Microsoft Process: Copy the Auto-Complete List

Officially, Outlook on the Mac is not supported by the University for accessing G-Suite. However it does work with limited functionality. The recommended client for g-suite on the Mac is Apple Mail and Calendar.

Apple Mail - If you would like to configure Apple Mail and Calendar, follow the Computing Services instructions: Configure Apple Mail and Calendar (Scroll down to the "Apple Mail and Calendaring (Mac)" section)

Outlook - If you would like to continue using Outlook we recommend making an appointment with us by emailing cheme-computing@andrew.cmu.edu or calling 8-7993. If you would like to try this process yourself, the best guide can be found here:

If you use the OWA as your primary client on Exchange, you will need to move to one of the supported desktop clients. Below are the instructions for the 3 desktop clients

Outlooks 365 (PC)

If you current use the OWA, and would prefer to continue using a web base client instead a local application/desktop client, your only option is the Google Web Client. This is a fully featured client, but it is very very different than the OWA.

If you use advanced features, the Google Web Client if the preferred method. It is also fine to use botht web client and a deskop client. Theb web client is a fully featured client, but it is very very different than the OWA.
