Student Affairs Transaction Processing Requests

The information on the Student Affairs Transaction Processing Request form will allow the finance team to verify PCard/Travel Card/HazMat Card transactions or expense reimbursements that you have personally incurred on behalf of Carnegie Mellon University or your student organization. Use this form to submit details of your purchases along with applicable supporting documentation, e.g., itemized receipts, executed contracts, gift/prize forms, and proof of design or Trademark Office approval.

Form Instructions:

  1. Follow the URL to the Student Affairs Transaction Processing Request form.
  2. Click “SIGN IN” (You do not need to click “REGISTER” even if this is your first time using the form).
  3. Enter your AndrewID and Password and click “Login”
  4. Click on “BEGIN THIS FORM” to enter details about your PCard/Travel Card/HAZMat Card transactions or expense reimbursements to allow the finance team to verify the transactions.
  5. After you have navigated the pages of the form and entered all required information, you will land on the page with the header “Review your supplied details.” You must scroll to the bottom of this page and click on the “SUBMIT FORM” button.
  6. You will receive an email confirming your form submission.
I am submitting receipts for multiple business justifications – can I put them all on the same form?

No, you must submit a unique form for each business justification.

My transaction needs to be charged to more than one account – how do I indicate this?

You may enter words or integers into the “Account Name or Oracle String” field; please enter both account names and how much of the transaction total needs to go to each account. For example, if you had a charge for Residential Education that needed to be split between two house communities equally you would enter “Mudge and Stever split evenly.” If it was not an equal split, you could enter “Mudge, 70.00 and Stever, 30.00.”

I am an approver; how do I approve a TPR form?

When a form has been submitted that requires your approval, you will receive an email in your inbox with a link to your Worklist. You will follow this link to view the form awaiting action.

When I follow the link to my Worklist, there are no forms waiting for me to approve – where do I find the TPR forms I need to act on?

Once you follow the link to your Worklist, you must sign in by clicking the link in the top right-hand corner and entering your Andrew credentials. Once you are signed in you will see the forms in your Worklist awaiting your action.

I am submitting a TPR form that requires approval, but I don’t know the Andrew ID of my approver. How can I find out the Andrew ID of my approver?

Ask a finance team member for the Andrew ID of your designated approver.
