Registration Volunteers

Thank you for agreeing to serve as a registration volunteer for the Take Our Daughters and Sons to Work event on Thursday, April 28, 2022.  We greatly appreciate you agreeing to be part of this program.

Registration will take place in Wiegand Gym in the Cohon University Center.  Volunteers should arrive by 10:30 AM and remain until 12:15 PM.  Registration runs from 11:00 AM to 12:00 PM.

Beginning at 11:45 AM, call those who have registered, but have not checked in.

There will be a check-in table for all participants by track. They will receive a wristband for their track at this check-in table.  Both the host and the child get a wristband.  Each track—1 through 5 (8-11 years old) or A through B (12-15 years old)—will be staffed by a volunteer. 

Registration includes the following steps:

1. Welcome participants/parents and hosts, get the participant’s name, and confirm track registration.

NOTE:  If they do not agree that they have registered for what is on the sheet, send them to the info/trouble table.

2. Check the list (which is in alphabetical order by last name) to see if they turned in their Program Release and Photo Release Form.

NOTE:  If they have not turned in their Program Release, Photo Release Form and Vaccination Attestation, send them to the info/trouble table to get a form and have them come back when the form is complete. This form is two-sided with the photo release on the back.

3. Make sure they are given the color wristband that correlates with that track selection and check the child’s name on the master list.

4. Ask Parent/Host for their ID and for their Name and Cell Phone Number and write the track (letter or number), child’s number in the group, child’s name, and the parent/host name and cell phone number on the wristband.  Both parent/host and child get a wristband with this information. Example: “D-7 J. R. Stragar 412.551.8763 Pattye Stragar” – this is the track, child number in the group, child name, contact cell, parent/host name.

5. If an adult other than the parent/host is picking up a child, put a STAR    on the wristband and include the name of the person picking up the participant.  This information must be indicated on the release form including: the name of the non-parent/non-host and cell phone number. This will be used to reference when the adult and participant check out at the end of the day. They must show an ID at the table in Wiegand Gym before leaving if they did not register the child.

6. Ask if they reserved a lunch during registration?

 If YES-direct them to Rangos 3. 

 If NO-mention that there are a limited number of lunches available in Rangos 3 for $9.00.  You can also suggest they purchase a meal from a vendor on campus.

7. Be back to Wiegand Gym by 12:45 PM so the child can be ready to leave with their group for their first track by 1:00 PM. 

SUGGEST they participate in a recreational activity until lunchtime—swim, racquetball, squash, ping pong, pool, foosball, basketball, volleyball, or take a walk around campus.

REMIND them lunch starts at Noon in Rangos 3.  The children will eat lunch on their own with their host.  Host must stay with their child until they are escorted by their track guide from Wiegand Gym to Session One.

REMIND them to stay with their child until they leave for their tracks at 1:00 PM and return to Wiegand Gym to pick up their child at 3:00 in the designated track area.

Lunch Volunteers

Thank you for agreeing to serve as a lunch volunteer for the Take Our Daughters and Sons to Work event on Thursday, April 28, 2022. We greatly appreciate you agreeing to be part of this program.  

Volunteers should arrive in Rangos 3 on the seconnd floor of the Cohon University Center by 11:30 AM and remain until 1:00 PM. If you have limited availability, please either come at 11:30 AM and stay until 12:30 PM or come at 11:45 AM and stay until 12:45 PM.  If you can stay past 1:00 PM, we can use help with clean up.

The children will eat lunch on their own with their host.

Note: We cannot accommodate food allergies. We also cannot report on the presence or absence of known allergens or contamination by allergens in the food served at this event.

Please access Carnegie Mellon tickets to purchase a lunch ticket for TOCTW Day.  Lunches are $8.50 plus a convenience fee of $.50 from the credit card company Total for lunch is $9.00

You will have 2 choices for lunch

Cheese pizza – 2 slices

OR

Chicken tenders with ranch dressing and honey mustard

Each lunch includes a bag of chips, apple and a Turner’s lemonade.

You will pick up your lunches in Rangos 3 after Noon from Chartwells

Lunch volunteers will help Chartwheels as needed at the food station. There are a limited number of lunches available on the day of the event for $9.  Once these tickets are sold, suggest they purchase a meal at a vendor on campus.

Hosts are required to supervise their children. Track supervision does not begin until after lunch at 1:00 PM in Wiegand Gym.

 

Instructions for Track Guides

Thank you for agreeing to serve as a Track Guide for the Take Our Daughters and Sons and to Work event on Thursday, April 28, 2022. We greatly appreciate you agreeing to be part of this program.   

Please check in at the volunteer table inside Wiegand Gym at 12:45 PM to get your envelope. Make sure you review the emergency forms in your packet.  Participants and guides will leave Rangos at 1:00 PM to travel to session one.

The schedule is as follows:

  • 1:00 PM to 1:15 PM Travel from Rangos in the Cohon University Center to Session One
  • 1:15 PM to 2:00 PM    Session One
  • 2:00 PM to 2:15 PM    Travel to Session Two
  • 2:15 PM to 3:00 PM    Session Two
  • 3:00 PM to 3:15 PM    Travel back to Wiegand Gym in the Cohon University Center
  • 3:00 PM to 3:30 PM    Parents/hosts pick up participants in Wiegand Gym

As a guide you will need to consider the quickest route from Rangos to Session One, from Session One to Session Two, and then back to Wiegand Gym.  You also might want to visit the location before the event to locate the closest restroom, drinking fountain, etc.

The list of participants attending each track will be provided, along with the details for each track – presenter name, room, phone, email and campus address.

Each child will have a wristband on their wrist with their parent’s or host’s name and phone number.  Parents/hosts must remain with their children during registration and the lunch program, which concludes at 1:00 PM.  Parents/hosts return to Wiegand Gym between 3-3:20 PM to pick up their children.

Emergency Forms will be provided for each track and each participant.  The release forms will let you know if you have any participants in your track with a medical condition, such as allergies, diabetes, asthma, etc.

Emergency Kits will be provided to any guide that has a track that leaves the Cohon University Center. These emergency kits contain the following items:

  • Wipes, Band-Aids, tissues, and ointment tear pack in a zip lock bag
  • Water and hand sanitizer

In the event that someone gets hurt during a track in the Cohon University Center, please have them go to the Athletics equipment desk across from Wiegand Gym.  You can also call Campus Police 412-268-2323 who can dispatch EMS.

Review rules with the participants:

  • No running
  • Use Buddy System
  • Identify a meeting spot for each track

Do a HEAD COUNT regularly - especially while traveling.

Offer the presenter a lanyard.

RETURN TO COHON UNIVERSITY CENTER

Please enter through the center doors of Wiegand Gym and report to the pick-up volunteer that your track has returned. 

Take your track group to the designated area in the gym.  Look for the track sign or wristband color.  Take a headcount of your group. 

There are thank you cards in your track guide packet; assist in getting the children to sign these cards for the presenters and send to the presenter(s) via campus mail (address on track information sheet in the packet).

Instructions for Presenters

Thank you for agreeing to present for the Take Our Daughters and Sons to Work event on Thursday, April 28, 2022.  We greatly appreciate you agreeing to be part of this program.  

You might want to consider discussing the following questions during your presentation to the children.

    • What is it like working at Carnegie Mellon?
    • What is your educational background? 
    • What was your favorite course of study?
    • What kind of training did you need for your job?
    • What are the typical challenges you encounter in your job?
    • What do you wish someone had told you about a career when you were this age (8-15 years)?

The two sessions begin at 1:15 and 2:15 – Your room will be available for setup at 1:00 PM.

Each session is 45 minutes. 

Each session has a maximum number of students due to room constraints and your preference.

Each session has both boys and girls – they will be mixed and separated by ages, 8-11 or 12-15.

Each session has at least one adult guide and possibly another adult or CMU student guide.

The schedule for the participants will be: 

  • 1:00 PM to 1:15 PM Travel from Wiegand in the Cohon University Center to Session One
  • 1:15 PM to 2:00 PM    Session One
  • 2:00 PM to 2:15 PM    Travel to Session Two
  • 2:15 PM to 3:00 PM    Session Two
  • 3:00 PM to 3:15 PM    Travel back to Wiegand Gym in the Cohon University Center
  • 3:00 PM to 3:30 PM    Parents/hosts pick up participants in Wiegand Gym

All the rooms are reserved, and if you are not aware where you are presenting we will help you find the location and the best way to get there.

Instructions for Pickup Volunteers

Thank you for agreeing to serve as a Pickup Volunteer for the Take Our Daughters and Sons and to Work event on Thursday, April 28, 2022. We greatly appreciate you agreeing to be part of this program.

The last track session ends at 3:00 PM and pickup will take place immediately following in Wiegand Gym in the Cohon University Center 1st Floor.  Parents/hosts will be told to pick up their children from 3:00-3:20 PM.  The plan is for the track guides to return to Wiegand Gym through the center doors and report in with their tracks. The participants will gather in a designated area in the gym. We will try to slightly stagger the arrivals to keep the tracks separate. 

When the children arrived earlier in the morning they were given a colored wristband based on the track they were assigned; there is a chart at the end of this document which shows the color of each track.  Their parents/hosts were also given the same colored wristband.  The child’s wristband has the name and phone number of the parent picking up the child and the parent’s wristband has the name of the child.  All parents/hosts were explicitly told at registration that they had to specify who would be picking up their child, so the name on the child’s wristband should be the same person who is picking them up.

There are two categories of pickup volunteers.  One group will stay with the individual tracks while the children wait for their parents, the other group will be at the doors.

Instructions for Pickup Volunteers:

  1. Arrive at Wiegand Gym at 2:45 PM (no later than 2:50 PM), where you will be assigned an exit door.
  2. When the track groups arrive, you will note they have arrived and guide them to a designated area in the gym. The tracks are color coded, and sign stands will specify the track.
  3. If two tracks arrive at the same time, stagger their entrance so the participants remain in their group; allow one group in together, then send the next group in.
  4. When the parents/hosts start to arrive, direct them to the designated area based on the color of the wristband.
  5. When a parent/host and child are ready to leave the gym, verify the name on the child’s wristband; parents/hosts were asked to indicate who would be picking up the child so these should be accurate.
  6. We expect some parents/hosts to either loose or to not bring their matching wristband. In these instances, please send parent/host and child to the ID Table. 
  7. A star on a wristband means that the person who dropped the child off is different from the person picking them up. In these instances, please send parent/host and child to the ID Table. 
  8. Remind guest to pick up lanyard at the SWAG table.
  9. When the correct parent/host picks up the child they are free to leave; both will need to show their matching wristbands again to the volunteers at the door.
  10. No child leaves Wiegand Gym unless accompanied by the parent/host specified at registration.
