Planning Your Event or Meeting
Below is a list of things that you should think about while planning your event. For a copy of the Policies and Procedures of the University Center, please visit this website.
Alcoholic Beverages
All university policies relating to alcohol use and social host responsibility will be firmly adhered to within the University Center (on-line reference) The university firmly supports all laws relating to alcohol within the Commonwealth of Pennsylvania. In accordance with these stipulations, alcohol will be permitted only at approved social events within the University Center. Alcohol must be purchased and served through University Catering. Alcohol is prohibited in hallways and public areas. The sponsor of any social event with alcohol in the building must have security present and will be responsible for the cost.
Audio/Visual Equipment

Media Technology
Many events that are held in the University Center require audio or visual equipment. The Media Technology department has equipment that can be rented for your events, as well as technicians on hand to assist with the operation, should you wish it.

AB Tech:
Student Organizations that wish to use special sound or lighting for large events should contact AB Tech. You can contact them on their website.
Catering
Functions in the University Center may be catered by university-preferred vendors, University Center vendors, or on-campus food vendor. Food deliveries other than catered events must be made at the Information Desk. Other caterers are prohibited.

* Any Campus Food Vendor
** You may also order "drop off items" such as pizza, Chinese food or sandwiches. However the vendor must deliver the food to the Information Desk and then someone from your group must meet him/her there for pickup.
*** Alcohol for events must be provided by Carnegie Mellon Catering. They operate the Liquor License.
Clean-up and Maintenance
Events requiring significant additional attention will be arranged by the University Center at the expense of the event sponsor. For example: events with a limited time for physical set-ups or large scale events. All decorations, including helium balloons, must be removed immediately following an event. Failure to do so may result in charges to the event sponsor.
Crowd Control
The University Center Scheduling Office has the authority to limit attendance at events with the potential to exceed the capacity of the reserved space. Also, additional University Center staff may be required at the cost of the event sponsor.
Damages
Event sponsors are responsible for ensuring that no damage occurs to facilities of the University Center during the course of an event. Damaged facilities or equipment will be repaired at the expense of the event sponsor.
Security
The University Center Scheduling Office, in conjunction with University Police, will have authority to determine the security needs for a particular event. The University Center Scheduling Office will make arrangements for the provision of security or additional University Center staff. All costs for such staffing will be the responsibility of the event sponsor and will be included in the invoice generated by the Scheduling Office.
Signage

Posting Printed Materials:
Printed materials may be posted only on designated bulletin boards within the University Center. Nothing may be posted on the walls, ceilings, glass, or other surfaces of the University.

Sign Stands:
Sign stands are available for you to post signs on or use to direct people to your event. We have three different types:
- Single post black sign stand

- Red Back sign stand

- Easel (available at the price of $5 per day)

Tickets
Events requiring ticket sales leading up to the event can do so at the University Center Information Desk. Contact the information desk manager at x8-1785.
During your event
Contact the information desk on the first floor of the University Center (x8-2107) to help resolve any issues that arise during your event. These could include needing extra chairs, tables or sign stands, needing the temperature of the room adjusted, etc.
