The following are this week's tips on using SPARCS:

  • FINAL SPO REVIEW state. What does this mean? A proposal is moved to the FINAL SPO REVIEW state when the OSP Specialist and the OSP PreAward Manager have both reviewed and approved the information within the SPARCS Funding Proposal. The proposal will remain in this state until all of the proper documents have been received and/or there is confirmation of the submission. 

    My proposal has already been submitted though. How can I get it into the PENDING SPONSOR REVIEW state? In many cases, OSP Specialists will submit and attach a copy of the final submission and all confirmation that have been received to the record. However, many times the department (Research Admin, Foundation Relations, the PI, etc.) is responsible for submitting the proposal. In these scenarios, the department will need to provide a copy of the final submission and/or confirmation that the proposal was actually submitted to the sponsor.

    There are current 45 proposals (within 16 submitting departments) that are 5 days or more past the due date and have not yet provided a copy of the final submission and/or confirmation that the proposal was actually submitted to the sponsor. Not only does this incomplete information cause a variance in reporting, but it also causes a delay in processing the associated awards. Please be sure to follow up with your PIs to collect this information and pass it on to the OSP Specialists. 

Recent improvements to SPARCS:

  • UPDATE FOR COURTESY APPOINTMENTS: Departments that have in the past received email notifications for individuals with courtesy appointments within their area will NO LONGER be receiving notifications. However, all primary appointment departments will still receive emails.
