Hybrid Teaching Spaces with Resident Video Conferencing

Rooms with resident video conferencing require different setup and usage. Follow the steps below when teaching from a space with resident video conferencing technology (see list of rooms with resident video conferencing). This will allow both in-person and remote students to learn, collaborate and participate in a classroom instructional environment while adhering to social distancing guidelines.

Quick Reference

present to In-Person Students

  1. Connect the HDMI cable to your laptop to use the touch panel and videoconference technology.
  2. Use the touch panel to share content from your laptop within the classroom. 

present to Remote Students

  1. Use the touch panel to join a Zoom meeting using the Meeting ID.
  2. Use the Videoconference controls on the touch panel to control:
    • what is presented within the Zoom meeting (most often, your laptop)
    • the videoconference volume  
    • the room camera(s)

After I'm set up, I want to...

WHAT I NEED: A laptop with your presentation

WHAT I DO: Open the presentation on your laptop.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Laptop. Your screen will be shared using the room projector in the classroom.
  1. Under Videoconference Controls on the touch panel, tap Presentation.
  2. Select Laptop. 

WHAT I NEED: A laptop and materials to share with the document camera

WHAT I DO: Place the materials under the document camera.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Document Camera.The document camera will be shared using the room projector in the classroom.
  1. Under Videoconference Controls on the touch panel, tap Presentation.
  2. Select Doc Cam. 

WHAT I NEED:

WHAT I DO:

  1. Click Share Screen from within the Zoom meeting on your laptop.
  2. Select iPhone/iPad and then click Share.
  3. Follow the onscreen instructions to connect your iOS device.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Laptop.
  • DO NOT click Share computer sound to avoid audio feedback. 

Note: You can also use a wired connection to share your iOS device (Mac only) or use annotation tools on a shared screen or whiteboard within the Zoom meeting.

 WHAT I NEED: A designated student(s) with presentation materials

Control the presentation for the student

  1. Obtain a copy of the student's presentation materials in advance of the class. 
  2. Share the presentation with both in-person and remote students.  
  3. Use your laptop to assist with presentation advancement on behalf of the student. 

Student uses personal device to share via the Zoom meeting

  • Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.

Instruct the student to:

  1. Bring a personal device into the classroom with the presentation materials.
  2. Join the Zoom meeting
  3. IMPORTANT! DO NOT have the student join the audio for the meeting (if prompted). If the device is connected automatically, click the ^ arrow next to Mute/Unmute and select Leave Computer Audio to prevent feedback.
  4. Click Share Screen to present the materials.

Student uses personal device to connect wirelessly to  video conference technology *

  1. Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.
  2. Under Videoconference Controls on the touch panel, tap Presentation.
  3. Select Wireless

Instruct the student to:

  1. Bring a personal device into the classroom with the presentation materials.
  2. Follow the steps on the screen to connect his/her device to the video conference.

Remote students can share their screen within the Zoom meeting.  

  1. Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.
  2. Instruct the remote student to:
    1. Click Unmute to open his/her microphone.
    2. Click Share Screen to present the materials. 

* This option is only available in rooms with a wireless collaboration option.
