Your First Day
Whether you are brand new to employment at CMU or returning in a new capacity, HR Employee Services is here to support you through the onboarding process. We will help to ensure that your onboarding tasks are completed in a timely manner through regular communications in the weeks leading up to your hire date that are personalized to your specific onboarding needs.
HR Employee Services hosts onboarding sessions the first business day of every week for new and rehired faculty and staff. These sessions provide information on parking/transportation, payroll, and benefits along with where to find important onboarding resources.
Initial Workday Onboarding Tasks
You can complete the initial onboarding tasks in your Workday inbox on or before your first day, once your hire has been finalized in Workday. As a reminder, the Form I-9 Section 1 must be completed in Workday on or before your first day, and Section 2 must be completed by a CMU representative within three days of your first day of work.
Weekly Onboarding Session
For many new employees, the weekly onboarding session you attend will take place the morning of your first day, from 9 a.m. to noon ET. If your hire date is not the first business day of the week, you will be invited to a session following your hire date.
During the first hour of the session, the session covers onboarding tasks and topics that are applicable to all new or newly rehired faculty and staff at CMU, such as CMU ID Cards, parking/transportation, and payroll. This portion of the session additionally goes over setting up direct deposit (payment elections) and tax elections (federal and state forms). It is important that all initial onboarding tasks are submitted before attending the onboarding session so that you have access to the new tasks we go over as a group.
The second portion of the onboarding session focuses on benefits, including information on the benefit plans, how to enroll in benefits in Workday, and how to add dependents. All are welcome to stay for the full session, but the second segment is highly recommended for all employees who are part time or full time benefits eligible. We request that you wait to submit your benefit elections until during or after the session, if possible.
To help ensure you are able to complete the onboarding tasks with the group, the following items should be readily available during the session:
- Your Andrew ID, password and DUO device — you will need these to log in to Workday
- Original, unexpired documents for I-9 completion [pdf]
- Dependent eligibility documentation [pdf], birth dates and social security numbers for dependents being added to benefit elections
- Routing and account number for setting up direct deposit; a voided check is not required
- Form W-4 information for completing tax elections — refer to the IRS Withholding Calculator for assistance
Your hiring department will be included on the initial onboarding email from HR Employee Services with information regarding the weekly onboarding session. If you are unable to attend on the date(s) provided, please work with HR Employee Services and your supervisor to find a time to go over any outstanding onboarding questions during your first week at CMU.
It is important that you begin checking your CMU email since important university communications, calendar invitations and notifications will be sent there. If your hiring department has provided a department email as well, it is important to connect the two if you will only regularly be checking one of the accounts.
