System Training

Get acquainted with the systems we use at Carnegie Mellon and the training and user resources available for each. All employees will need to use Workday throughout the year. Depending on your role at the university, you may have responsibilities that require you to utilize access to the university’s systems including Workday for HR/Payroll, Oracle for financial transactions and accounting, BioRaft for environmental health and safety training, SPARCs for research administration or Taleo for the hiring process.

Workday is the university's global human resources, payroll, benefits and time tracking system.

Workday Functionality

With Workday, all employees can complete HR and payroll functions including keeping your personal information up-to-date, viewing pay slips and updating direct deposit elections and requesting paid time off.

If you are assigned a role in Workday, you can complete tasks associated with that role such as:

— Initiate HR transactions for your department

— Review and approve HR transactions for your department

— Approve time for non-exempt employees

— Initiate and approve academic transactions

Those assigned a role in Workday can participate in instructor-led workshops to learn more about the specific tasks associated with the role. In some cases, training is required before you can be granted access to the functions of your role. Oracle is the university's financial management system.

Oracle Functionality

With Oracle you can complete many financial tasks on behalf of the university, including:

— reconciling purchases made with a procurement card (PCard)

— submitting expense reports

— creating and approving purchase orders

— creating, approving and posting journal entries

— tracking expense details for grants accounting projects

The Finance Division offers instructor-led and online training, tutorials and guides. See Finance Training for required and optional training by task in Oracle. In most cases, training is required to be granted access to the Oracle system.

BioRAFT is the university's safety, compliance and training software. The system is administered by Environmental Health & Safety.

BioRAFT Functionality

With BioRAFT, you can conduct, track, report and archive safety inspections for your lab, studio, shop or facility. The system also helps supervisors and researchers meet compliance requirements by sending automatic reminders when required health and safety training is due. Instructions and training on the system are provided by Environmental Health & Safety.

SPARCS is the university's Sponsored Projects and Research Compliance System. SPARCS streamlines the process of obtaining compliance approvals, submitting proposals and processing awards.

SPARCS Functionality

SPARCS provides four modules to support the university's research activities:

— Conflict of Interest (COI) — allows users to disclose relevant financial relationships and holdings

— Institutional Review Board (IRB) — provides researchers with a portal to prepare, submit and track human subject protocols and socio-behavioral surveys

— Institutional Animal Care and Use Committee (IACUC) — allows users to manage IACUC protocol

— Proposal and Awards (in process of implementation) — supports the routing, approval and management of proposals

Taleo is the university's recruiting and applicant management system.

Taleo Functionality

Taleo allows hiring managers to:

— Track your open positions

— Review applicant resumes and cover letters

— Identify qualified candidates and reject unqualified applicants

— Complete the hiring process (through integration with Workday)
