Contact and Distribution Group Overview

Contact and Distribution groups are custom lists of email addresses. These group lists can be used in Outlook Exchange to easily send email to or schedule meetings with members of your department, project team, etc. There are several ways in which to create and utilize Contact or Distribution Groups to send email/calendar invitations to multiple people. The following is a list of the different types of groups, their characteristics and links to additional details:

Contact Groups

  • Stored in your personal Outlook Contacts
  • Can contain CMU as well as external email addresses
  • Not displayed in the Global Address List
  • Not visible to all Outlook Exchange customers
  • Ability to share the Contact Groups with others

Contact Groups: Shared Mailbox

  • Stored in the Contacts folder of a Shared Mailbox
  • Can contain CMU as well as external email addresses
  • Not displayed in the Global Address List
  • Not visible to all Outlook Exchange customers
  • Others who have access to the Shared Mailbox can create, edit and use the contacts and contact groups within it

Distribution Groups

  • Stored centrally within Outlook Exchange
  • Can contain only CMU email addresses
  • Displayed in the Global Address List
  • Visible to all Outlook Exchange customers by default (this is configurable)
  • Used primarily to schedule a common group of people for meetings through Outlook Exchange

Andrew Mailman Lists

  • Email addresses are NOT stored within Exchange
  • Format is "name@lists.andrew.cmu.edu"
  • Should be used to send email to groups but NOT to schedule Exchange meetings

Note: Cyrus customers may be added as a member of a group; however, only Exchange customers are able to use the group to schedule a meeting. When invited to a meeting, Cyrus customers will receive an email notification.
