POSITION RESPONSIBLE FOR REVIEW: Deputy to the AVP

 

PURPOSE: To establish policy and procedure for routine application of the university's guidelines on writing style, word usage, and appearance standards to FMS correspondence and publications.

BACKGROUND: Uniform style and appearance provide a distinct and professional quality to correspondence and publications, both internal and external. The division of university relations offers two documents to the university community that contain guidance on writing style for correspondence, and standards for the appearance of publications; both are useful to FMS.

POLICY: It is the policy of FMS to apply the university's writing style guidelines and appearance standards in its correspondence and publications.

PROCEDURES:

1. Refer to the published university document listed in REFERENCE 1 for guidance on writing style and strategies, for conventions on abbreviations, acronyms, capitalizations, dates, numbers, places, plurals, possessives, punctuation, and titles, for common rules on word use, and for cautions on various common misuses and misspellings.

2. Refer to the document listed in REFERENCE 2 for the appearance standards that apply to publications and correspondence, especially where they involve the use of letterhead stationery and the use of the university logo.

RESPONSIBILITIES:

1. Staff members who draft FMS correspondence, both internal and external, are responsible for following the conventions of written usage and style documented in REFERENCE 1.

2. Staff members who determine the format or appearance of FMS correspondence and publications are responsible for following the logo and graphic standards covered in REFERENCE 2.
